Registration

Registration for the congress is now open. Registrations can be guaranteed until the maximum number of attendees is reached, or until the 15^th of August 2010.

You can register and pay through our website. Your registration becomes final once we have received your payment and registrations will be accepted in order of payments received! Members of the EAVLD will receive a discount on the registration fee and until the 1^st of May their applications have precedence over the applications of non-members.

Registration for the congress will typically include admission to the conference (which in itself includes coffee, tea, lunches, and bus transfers if applicable), the congress dinner on Thursday, and hotel accommodations for two nights during the congress. You can however put together your own package by including some additional options or leaving some out.

Please read the information below carefully before you proceed to the registration page and make your choice.

Registration for the conference

This includes access to the conference sessions, coffee, lunch, tea and bus transfers as mentioned under “Transportation” (but does not include the congress dinner or hotel accommodation!). Members of the EAVLD receive a discount on the conference fee. If you are not yet a member of the EAVLD, but want to be one, please sign up for an EAVLD membership (www.eavld.org) before you register for the congress, otherwise the discount can not be applied. Please note that for the discount EAVLD-members receive, you can pay your membership fee for almost three to four years!
Further discounts apply when registering early, according to the table below.

On the registration page (under "Order") you select whether you want to attend the congress as a member of the EAVLD or not. The fees will automatically adjust on the dates in the table below.

Registration for hotel accommodations

We strongly advise you to book a room through our registration procedure, given that convenient hotel facilities in and around Lelystad are scarce. Besides, transportation between these hotels and the conference hall is arranged for and included in the conference fee. If you book your own room in another hotel, we will not be able to provide transport! We advise you to do this only if you have a (rented) car available.

We have made provisional reservations for rooms at two large hotels in the neighbourhood of the congress hall (see under “Hotels”). Early registration through our website guarantees you a room in one of these hotels. Once these rooms are gone, we will look for rooms in one or more additional hotels, and make sure transportation between these hotels and congress hall is arranged for. These hotels may, however, be less convenient, more expensive and/or of lesser quality. After the final deadline for registration (August 15) we will still try to find you accommodations in one of the hotels. Unfortunately, we cannot guarantee we will succeed in finding you accommodations. If we are unable to do so, you will be fully refunded. 

Hotel reservations include rooms only, without breakfast! If applicable, all additional charges (e.g. breakfast, mini-bar, bar, restaurant, etc.) will need to be paid directly to the hotel.

Additional nights
Standard reservation is for two nights, on the 15^th and 16^th of September. We also offer you the option to make reservations for one additional night before the congress, in case you already arrive on Tuesday. If you want to stay for more nights, you will have to contact the hotel yourself.

Double rooms

Available rooms will be single or double with either a double bed or twin beds.

§         If you want to share a room with a colleague who is also registering for the congress, only one of you should apply for a hotel reservation! Tick the appropriate box on the registration form and include the full name of your colleague. This will ascertain that you receive a double room with twin beds. Your colleague should then register for the congress without a hotel.

§         If you bring an accompanying person who is not registering for the congress, please also tick the appropriate box. You will receive a double room with a double bed or twin beds based on availability.

§         If you do not tick any of the boxes for sharing a hotel room, you will receive either a single room or double room for single use, based on availability.

As of the 1st of September, all rooms in both hotels are fully booked. It is therefore no longer possible to book a hotel room during the on-line registration. If you want to register for the congress and need a room, please contact Randi Buijs before registering and we will put you on a waiting list. As a result of late cancelations, rooms may still become available and will be given to the person on top of the waiting list.

Registration for the congress dinner

On Thursday the 16^th of September we will organise a congress dinner. We encourage everybody to join us in that dinner, but it is not mandatory. You will therefore have to register separately for the dinner. You can also register for one accompanying person, for an additional charge. Costs for the congress dinner are €75 per person. Transportation to the dinner location is included.

On the registration page (under "Additional products") you tick the appropriate box or boxes if you want to participate in the congress dinner.

Furthermore, under the two headings "Congress dinner" you will also need to choose what kind of meal you prefer yourself, and, if applicable, for the accompanying person. Choices are: meat, fish, or vegetarian. In case of an accompanying person, do not forget to include his or her name in the remarks section!

Deadline for registration

Deadline for registration is the 15^th of August 2010. After the 15^th of August, registration will still be possible, based on availability, but there is no guarantee for accommodations and bus transfers. We will however do our best to find you a suitable place to stay if you need one. So please contact us if you want to register after that date.

Payment

Payments can be made by credit card through the registration page. Depending on your country of origin, certain credit cards may or may not be available. If you absolutely cannot pay by credit card, please contact us and we will try to find another solution for you.

Confirmation

After you pay for the congress, you will get a confirmation screen. Please check whether the information is correct (you may print this for your own administration). If you have entered your credit card information incorrectly or incomplete, you may already get a message that your payment was refused. You will also receive an e-mail shortly after you payed for the registration, independent whether your payment was successful or not. So please check this e-mail carefully.
If your payment was refused, you will need to go through the whole registration procedure again. Please make sure to accurately enter your full credit card information this time.
If you do not receive a confirmation e-mail within 24 hours after paying, please contact us.

Reimbursement policy

Reimbursement policy in case of cancelation by you or us:

§         If you cancel before the 15^st of July, the full amount you paid will be reimbursed, minus €25 administration costs.

§         If you cancel before the 15^th of August, we will reimburse 80% of the total amount you paid.

§         If you cancel before the 1^st of September, we will reimburse 50% of the total amount you paid.

§         If you cancel your registration on or after the 1^st of September, we cannot reimburse you at all.

§         If we need to cancel your registration because the congress is already fully booked, or we are unable to find you a suitable accommodation, we will fully reimburse you.

Please note that you can always transfer your complete registration to another person. Until the 1^st of September you can do so without any additional charges (except if you are a member of the EAVLD and your replacement is not; then the difference between both fees will be charged). On or after the 1^st of September we will charge €25 for administration costs related to the transfer. Any of these extra charges need to be paid by your replacement, in cash, at the registration desk when arriving for the congress. To transfer your registration, e-mail us the full data of your replacement.
